Position Summary:
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor.
This position is governed by state and federal laws and institution policy
Duties & Responsibilities:
Composes, types, proofreads, and edits various documents including letters, reports, memoranda, forms, narratives, spreadsheets, training materials, email marketing, and social media using a personal computer
Acts as the initial point of contact for the Vice Chancellor for Diversity and Community Engagement (VCDCE)
Acts as office receptionist by greeting and directing visitors, screening calls, and providing general information and assistance
Opens, sorts, and distributes mail
Maintains various computerized and paper files, records and logs, and retrieves information upon request
Schedules appointments, makes travel arrangements, and maintains calendars for VCDCE and assigned senior staff
Inventories and order supplies
Inspects and maintains office equipment
Posts entries to ledgers and journals to account for expenditures or receipts
Copies and collates materials for distribution
Hires and supervises Federal Work Study students
Processes requisitions, sponsorships and related financial expenditures
Performs related additional responsibilities and duties as required or assigned
Other duties as assigned
Knowledge/Skills/Abilities:
Knowledge of the principles and practices of mathematics and statistics
Knowledge of research and analysis techniques and methods
Knowledge of work-related subject area
Knowledge of computers and software applications
Ability to prepare, present, and review oral and written information and reports
Ability to research and analyze related work program information
Ability to develop, recommend, interpret, and apply policies and procedures
Ability to analyze financial records and prepare reports
Ability to plan, organize, and direct the work of others

Proficiency in Microsoft applications including Word, Excel, and PowerPoint
Working knowledge of various social media platforms and email marketing programs
preferred to have a valid driver's license and be insurable under Arkansas State University's auto insurance
Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) year of specialized training in business management, business education, or a related field
Two (2) years of experience in a specialized or a related field applicable to work performed
Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
