Position Summary: The Administrative Analyst is responsible for conducting special research studies, analyzing data, preparing statistics, making recommendations based on research findings, and monitoring and coordinating project/program activities.
This position is governed by state and federal laws and agency/institution policy Duties & Responsibilities: Responsible for assisting management with the budgeting, hiring process, preparing personnel/payroll document and providing assistance as needed Request position vacancies according to A-State established procedures Reviews applications to verify applicant qualification and past work history, notifies Human Resources for interviews, and refers applicant paper work to appropriate A-State departments for processing Notifies A-State Human Resources of selection or non-selection of applicants after interviews Assists student and other employees in completing required new hire documentation and various forms concerning with changes in miscellaneous deduction Completes appropriate personnel/payroll documents to initiate pay status, change pay status, or change personnel information.
Enter data into computerized payroll system Maintains personnel files, leave records, position vacancy lists, position controls/printouts, and performance evaluation records Assists employees by explaining personnel policies and procedure and available benefits Reviews and submits various bi-weekly, monthly, quarterly, and annual reports as requested May supervise a small administrative support staff in procedures for recommending for hire, training, assigning and reviewing work, approving leave requests, and evaluating the performance of incumbents Maintains budget spread sheets for payroll and grant expenditures for all Childhood Services programs Assists payroll staff by providing all Childhood Services payroll data needed for a timely manner for all payroll deadlines Assists with payroll and personnel related questions and problems, and complies data concerning payroll production for grants and contracts Review data in computer for accuracy, verifies all corrections made for budget and personnel Monitor and evaluate Childhood Services programs and provide training on changes required to meet state standards Work with Childhood Services grant funded programs to coordinate staff training as needed Participate in the implementation of short and long term goals related to Childhood Services projects Follow Childhood Services grant funded program procedures and compile information for reports and evaluations Participate in evaluation and review of Childhood Services projects Maintain a working relationship with program coordinators, trainers and staff in Traveling Arkansas Professional Pathway (TAPP) Registry, Arkansas Better Chance Preschool, Arkansas Better Chance Monitoring and Technical Assistance, Pre-K Ella, Index, Work Sampling, Resource and Referral, QRIS, Director Orientation, Specialist programs and Coaching Maintain all personnel and payroll documents for Childhood Services and 11 ABC Preschools in the Delta area Maintain a relationship with on-campus contacts to accurately develop and maintain Arkansas State University policies and procedures Other duties as assigned Knowledge/Skills/Abilities: Knowledge of planning, research, and analysis techniques and procedures Knowledge of department operations, policies, and procedures Knowledge of applicable laws and regulations Knowledge of basic accounting principles Ability to plan and execute systems and organizational analysis and feasibility studies Ability to conduct research and perform quantitative quality assurance reviews Ability to research, prepare, and present comprehensive written and oral reports Ability to organize and conduct meetings and workshops General Days/Hours: Generally Monday - Friday 8am-5pm Occasional weekends and evenings.
