Responsibilities: - Provide administrative support to ensure efficient operation of the office - Answer and direct phone calls - Organize and schedule appointments - Write and distribute email, correspondence memos, letters, faxes, and forms - Assist in the preparation of regularly scheduled reports through data entry - Manage office supplies and ensure cleanliness of the office area - Provide general support to human resource staff and visitors Qualifications: - Proven experience as an administrative assistant or relevant role - Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) - Excellent time management skills and the ability to prioritize work - Attention to detail and problem-solving skills - Excellent written and verbal communication skills - Strong organizational skills with the ability to multi-task - High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus Skills: - Administrative skills: Ability to perform a variety of administrative tasks such as answering phones, scheduling appointments, and maintaining files.
- Organizational skills: Ability to organize information, prioritize tasks, and manage time effectively.
- Proofreading skills: Ability to review documents for errors in grammar, punctuation, spelling, and formatting.
- Data entry skills: Ability to accurately enter data into computer systems.
- Order entry skills: Ability to process orders accurately and efficiently.
- File management skills: Ability to create, organize, and maintain physical and electronic files.
- Transcription skills: Ability to transcribe audio or written content accurately.
- Clerical skills: Ability to perform general office tasks such as photocopying, scanning, faxing, and mailing.
- Computer literacy: Proficiency in using computer software programs such as Microsoft Office Suite.
- Front desk skills: Ability to greet visitors, answer inquiries, and provide assistance.
